Information you provide to us:

• Identity verification documents: passport, driving licence, visa or immigration documents, where required for right to rent checks or anti money laundering checks.

• Tenancy and property information: details of properties you own, let, occupy or wish to acquire, tenancy terms, deposit details and correspondence relating to your tenancy or instruction.

• Prospective buyers or successors in the event of a sale, merger or restructuring of our business.

We do not sell your personal data. Service providers acting on our behalf are contractually required to keep your data confidential and to process it only on our instructions.

We store personal data within the UK wherever possible. Some of our service providers, such as email, cloud storage or analytics providers, may process data outside the UK. Where this occurs, we ensure an adequate level of protection through UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

• Tenancy and client files are retained for six years after the end of the tenancy or instruction, reflecting limitation periods for legal claims.
• Anti money laundering records are retained for five years after the end of the business relationship, as required by the Money Laundering Regulations 2017.
• Financial and tax records are retained for six years as required by HMRC.
• Enquiry data from prospective clients or tenants who do not proceed is retained for no more than twelve months.
• Website analytics data is retained in accordance with our Cookie Policy.

When data is no longer required, it is securely deleted or anonymised.

• Access: to request a copy of the personal data we hold about you.
• Rectification: to have inaccurate or incomplete data corrected.
